Planning a company retreat on a 27-guest phinisi: cabins, agenda, logistics

Updated 23 October 2026

A company retreat on Thalassa 2 works for 12 to 27 people: 9 cabins, one whole-boat price (3D2N for 20 to 27 guests: IDR 124,500,000 (≈ USD 7,638)), a 32-inch LED TV on the upper-deck balcony and a karaoke room. There is no projector, no meeting room and no Wi-Fi beyond a local hotspot.

Before you pick the dates

Start with the head count, because it sets the band. Thalassa 2 prices a retreat in three bands: 12 to 16 guests, 17 to 19, and 20 to 27, and a group under 12 pays the 12 to 16 band. It takes up to 27, and a party of 28 or more needs a second boat quoted separately.

Then the approvals: the deposit of 50 percent holds the date, so the budget owner must sign before that, and the balance falls due 30 days before sailing. Collect the passport names early. The Christmas and New Year weeks carry 10 percent on the private charter rate, for 23 to 27 December 2026 and for 30 December 2026 to 2 January 2027.

Plan to arrive the day before sailing. A delayed flight is the one delay the boat cannot absorb.

A sleeping plan for 27

Thalassa 2 has a Master cabin for 3 on the upper deck, four private twin cabins for 2 each, a shared twin for 4, and two bunk cabins for up to 6 guests each. Those capacities add up to 27, so a full retreat fills every bed.

A common sleeping plan: the CEO and guests of honor in the Master and the twins, team leads in the shared twin, and project teams in the bunk cabins. Every cabin is air-conditioned. Bathroom type is confirmed in writing, together with the final allocation, when we send your quote.

The bed-by-bed table is on the Thalassa 2 berths and rates page.

Two working blocks and a wrap-up

Plan two working blocks and one wrap-up, not a conference day. The first block fits after breakfast on day 2, once the group is back from the Padar ridge and fed. The second fits after dinner the same day, for a group that wants one; the karaoke room is for the ones who do not. The wrap-up is a short session on the morning of day 3, before Kanawa.

Everything else belongs to the route: Kelor and Kalong on day 1, the Komodo walk with a ranger (45 to 120 minutes) and the reefs on day 2. A meeting held in the midday heat loses the room. The stop list by day is on the 3 days, 2 nights page.

There is no projector. A laptop on the dining table, a flip chart and printed packs are the safe plan. Local Wi-Fi on board is a hotspot from the crew's mobile signal. It cuts in and out, there is no satellite internet, and you should not plan on video calls.

Money: invoice, deposit, balance

One booking, one invoice, issued to your company by PT Komodo Explorer Indonesia, NIB 1805260128363. For 20 guests, 3D2N costs IDR 124,500,000 (≈ USD 7,638), or IDR 6,220,000 (≈ USD 382) each. For 27 guests it is IDR 124,500,000 (≈ USD 7,638), or IDR 4,610,000 (≈ USD 283) each.

The price is one all-in rate that already includes fuel, and it is confirmed in writing before you pay. Park tickets are IDR 250,000 per international guest per day. The guide and documentation are not in the fare; both are available on request and quoted separately. Moving a date costs IDR 500,000 when you ask 14 to 29 days ahead, and cancellation refunds 50 percent at 60 days or more.

Logistics from Jakarta, Bali, Surabaya

Teams fly into Labuan Bajo from Jakarta, Bali or Surabaya, and the pickup service meets the group at the airport, hotel or harbor. A larger vehicle for 27 is available on request. Pickup time is confirmed in writing with the booking.

The hotel night before is yours to book; the Hotels page lists properties near the harbor. For colleagues from abroad, the first-time page covers visas, money and connectivity, and each person should carry the passport that matches the name on the booking.

If the boat cannot sail, the substitute rule applies: when a breakdown or an order from the harbor master or the park keeps it in port, we provide a phinisi of the same class or higher on the same dates at no extra cost, or refund you in full within 14 days.

FAQ

Can we hold presentations and workshops onboard?

Yes, in the dining room or on deck, with your own equipment. Thalassa 2 has a 32-inch LED TV on the upper-deck balcony and a lounge. There is no projector or meeting room, and Wi-Fi is a crew hotspot that cuts in and out, so plan offline sessions.

What is the easiest way to fly a group into Labuan Bajo?

Fly to Labuan Bajo from Jakarta, Bali or Surabaya the day before sailing. The free pickup meets the group at the airport, hotel or harbor, and a larger vehicle is available on request. We confirm times in writing with the booking.

What is the maximum group size?

Thalassa 2 takes up to 27 guests in 9 cabins, as a whole boat. A party of 28 or more needs a second boat, which we quote separately and confirm in writing. Fewer than 12 guests pay the 12 to 16 band, IDR 112,500,000 (≈ USD 6,902) for 3D2N.

Can we bring our own catering?

It is not published, so ask us in writing. The fare includes meals per the itinerary, cooked by the boat's chef in an Asian and Indonesian style. Dietary needs and special dinners are arranged on request, and we confirm the answer in writing before you pay.
